Workday Adoption Project Update Volume 4

Hello NEIU Colleagues,

Happy November!  The teams from Academic Affairs, Human Resources, and UTS continue to align and coordinate the response efforts to address Workday concerns, update system configuration and security, and identify opportunities for system enhancement.

This Friday, 11/3, the leadership will provide a Workday Project update at the Shared Governance meeting.

As of 10/31/23 -

  • 719 support tickets have been reviewed and closed; 42 tickets remain open

  • 35 job aids have been published; 5 additional aids are in development

  • Academic Affairs is revising the hiring business process for faculty and adjuncts and is expecting to complete the revisions in Spring 2024

  • The Cross-Functional Working Group meets weekly to review business processes and to develop/update training materials (job aids)

  • UTS and HR meet daily to review open items

Based on the information gathered from the Solution Sessions and the Feedback Survey, a series of recommendations were made to improve our use of Workday with the goals of streamlining and simplifying processes, increasing transparency, and supporting reporting.  We have started to work on these recommendations (as the action items above and previously shared document) and will continue to implement them throughout the Fall and Spring semesters.  Provided below is a table outlining the full list of recommendations.

  • Identify Dedicated Resource(s)

  • Form and Charge a Cross-functional Working Group

  • Review and Map Business Processes

  • Review and Map Security Roles and Expectations

  • Review Institutional Policies and State Requirements

  • Reinstate the Employee Status Statements

  • Implement Configuration Updates

  • Prioritize System Integrations

  • Focus on Testing (Initially and Ongoing)

  • Review, Revise, and Development End-User Resources

Starting in November, we would like to feature a different user story each week in the Workday update.  Share your Workday story so that the campus can continue to learn from each other as we optimize how we use Workday to support our processes.
