Workday Adoption Project Update Volume 8

Hello NEIU Colleagues, 

We hope you had a great holiday weekend and were able to relax and reset as we head into the final weeks of the Fall term.  The teams in Academic Affairs, Human Resources, and UTS continue to collaborate to address and resolve Workday questions and requests for support.

As mentioned last week, we have colleagues from Avaap on campus this week to review and correct any remaining payroll issues.  We will provide an update on this important work in next week’s communication.

Workday Support Sessions - Join Us!

Human Resources and Academic Affairs offer virtual drop-in sessions for those needing additional Workday support.  These sessions will provide assistance on employee related transactions, including posting a new position, initiating a job change, additional pay, etc. Click on the link below to join us!

Budget Update - Banner and Workday

We continue to work on initiatives related to budgets, integration, and reporting, with the goal of being able to create a robust reporting infrastructure to deliver essential and necessary information to the NEIU community and allow budget managers to see data at both the summary and position level. This work requires a variety of integrations between Workday and Banner, and we continue to push forward with multiple strategies.

Here are a few updates related to this important work:

  • Last week we completed end-to-end testing of the integration for budget amendments related to personnel from Workday to Banner. The adjusted budget provided in Banner will begin to reflect these transfers this week and we hope to bring the adjusted budgets related to personnel current over the next couple weeks.

  • Estimates of spending for personnel, known as encumbrances in Banner and commitments in Workday are in the final stages of being completed. The module which generates the estimates in Workday was initiated this week. The estimates will need to be fed via an integration into Banner. These initial calculations will require refinement over time, but they will be available as part of the report to financial managers.

  • We hope to be able to provide financial managers with a Workday generated report in the next couple of weeks. With the detailed, position-level reports, we anticipate questions about the posting location of charges related to specific budget lines and requests for corrections to the Fund, Organization/Cost Center and/or Program. The team has been working to refine the correction process within Workday. Once the process is finalized, an integration will be required to feed the adjustments to Banner which will help bring the data reported in each system closer into alignment.

  • Detailed payroll information no longer lives in Banner and currently only exists in Workday. This makes it difficult to report a complete and detailed budget picture across both personnel and non-personnel budgets. To overcome this challenge, we are leveraging the Cognos platform, which should allow us to report a more detailed, complete and combined budget picture.  We anticipate beginning to deliver reports through this approach over the next three to four weeks.

This week Rona Castaneda joined NEIU as the Senior Director of Budget, Planning, and Forecasting. Justin Krieg has agreed to continue to support the Budget Office and the Workday implementation team in the implementation process through June.

  • The “Suggestion Box” is not a place to seek help or support.  Colleagues still need to submit a ticket to the Support Desk (UTS) - helpdesk@neiu.edu

  • The “Suggestion Box” is also not a place to share your Workday tips/tricks.  We ask that you still use the Google Form link for those types of stories. 

TRAINING SUPPORT

What training is available now? There are 4 options:

  • On-demand courses are courses that provide information about Workday and how to complete key tasks. These courses include recordings and are available at workday.neiu.edu

  • Job aids are simple, clear instructions on how to initiate a task. The most up-to-date job aids are available anytime for all users at workday.neiu.edu
