Workday Adoption Project Update Volume 9

Hello NEIU Colleagues, 

As we wrap up the Fall term, support the faculty and students during final exams, and prepare for Commencement, we wanted to provide an update on the Workday Project activities.

Last week, our Avaap Payroll colleague was on campus working side-by-side with our Payroll team to address outstanding tickets and identify areas for optimization.  The team continues to make progress in addressing the concerns raised by our campus users.

We know you are still working on the end-of-term activities for the Fall, but we recognize that you have also been preparing diligently for the Spring term.  Provided below are a few help tips and reminders for your work in Workday:

  • If you are rehiring an Adjunct, please add a Spring Period Activity Pay by navigating to the employee name > Actions> Compensation> Manage Period ActivityPay Assignments.

  •  If you are NOT rehiring an Adjunct, please place them on Leave by following the steps outlined on the Place Worker on Leave if NOT Teaching job aid. This will keep them on your org chart, and they will not lose access to NEIU systems.

  • Data changes are only used when changing the percentage of an instructor's FTE and their pay.

  • Want to see your ESS? Navigate to your Profile > Personal> Documents tab

  • Managers: When an employee ends their employment at NEIU (e.g., terminations), use the last day of work as the effective date.

  • NEW! Hourly employees: Make sure to enter your time each week and submit it for review.  Starting this Friday, you will receive a weekly Workday reminder to enter your.  Your manager will also receive an alert if your time has not been entered and submitted.

Important Dates for Winter Session and Spring Term

We wanted to share some important dates to keep in mind for entering Spring contracts. Dates need to be correct for Instructors and adjuncts to be paid properly.

The effective spring start date is 12/24/2023, and the end date is 5/11/2024.

Workday Virtual Drop-In Sessions - Join Us!

Human Resources and Academic Affairs offer virtual drop-in sessions for those needing additional Workday support.  These sessions will provide assistance on employee related transactions, including posting a new position, initiating a job change, additional pay, etc. Click on the link below to join us!

HAVE A SUGESSTION? SUBMIT IT FOR REVIEW

The Workday Suggestion Box is a way for the campus community to provide feedback related to their experience or enhancements they would like to see in the Workday system.  Here is the link to the digital  “Suggestion Box.” 

A few things to note:

  • The “Suggestion Box” is not a place to seek help or support.  Colleagues still need to submit a ticket to the Support Desk (UTS) - helpdesk@neiu.edu

  • The “Suggestion Box” is also not a place to share your Workday tips/tricks.  We ask that you still use the Google Form link for those types of stories. 

TRAINING SUPPORT

What training is available now? There are 4 options:

  • On-demand courses are courses that provide information about Workday and how to complete key tasks. These courses include recordings and are available at workday.neiu.edu

  • Job aids are simple, clear instructions on how to initiate a task. The most up-to-date job aids are available anytime for all users at workday.neiu.edu

  • Individual support through Academic Affairs, HR, and UTS continues to be offered. Call us and let us know how we can help!

  • New hire orientation
