Workday Adoption Project Update Volume 12

Hello NEIU Colleagues, 

We know that recent winter weather events may have caused disruptions with your “start of the term” activities.  We did not send out a Workday Wednesday message last week so that you could focus your time and attention on supporting your students and your colleagues.  However, we recognize the importance of maintaining a regular cadence of Workday communications so that you have the most current and accurate information and resources to support your tasks and actions in the Workday system. 

Support Desk Tickets - Status of Open Tickets

Currently, there are eight open tickets under review and 844 closed tickets at this time. Tickets continue to be prioritized to ensure the requester receives expedited support. While the volume of requests has seen a significant reduction, we encourage anyone that has a question or needs support to submit a workday support ticket at helpdesk@neiu.edu.

PERIOD ACTIVITY PAY

This job aid provides instructions on how to enter a period-activity-pay for adjunct teaching assignments and one-time payments.

MOVING AN ADJUNCT TO AN INSTRUCTOR POSITION

This job aid provides instructions on moving an adjunct faculty into an instructor position.

As you continue your Workday actions and tasks for Spring, below are a few helpful tips and reminders:

●      Before you begin to hire an Adjunct, are they already active in Workday as an employee? If a non-faculty employee is teaching a course, you need to Add a Secondary Adjunct position to their active record. When that position is approved, you create the Period Activity Pay on that second position.

●      Please remember to have instructors sign any new or revised Form Ds

●      Please remember to attach Form Ds or Work Plans to business processes

●      Please remember to fill in period activity pay information in matrices.

Job profile vs. Job Requisition.

A job profile is the summary of responsibilities associated with a position. This includes the title, classifications, and job description. Job profiles can be assigned to one position (i.e., VP) or multiple positions (i.e., Admissions and Records Representative).

A job requisition is what a “job posting” is in Workday. This is the method through which a department advertises an open position. An open job requisition allows an open position to be posted on the careers page.

HAVE A SUGESSTION? SUBMIT IT FOR REVIEW

The Workday Suggestion Box is a way for the campus community to provide feedback related to their experience or enhancements they would like to see in the Workday system.  Here is the link to the digital  “Suggestion Box.” 

A few things to note:

  • The “Suggestion Box” is not a place to seek help or support.  Colleagues still need to submit a ticket to the Support Desk (UTS) - helpdesk@neiu.edu

  • The “Suggestion Box” is also not a place to share your Workday tips/tricks.  We ask that you still use the Google Form link for those types of stories. 

TRAINING SUPPORT

What training is available now? There are 4 options:

  • On-demand courses are courses that provide information about Workday and how to complete key tasks. These courses include recordings and are available at workday.neiu.edu

  • Job aids are simple, clear instructions on how to initiate a task. The most up-to-date job aids are available anytime for all users at workday.neiu.edu

  • Individual support through Academic Affairs, HR, and UTS continues to be offered. Call us and let us know how we can help!

  • New hire orientation
